Bookings

The ‘early bird’ booking rate will close on Friday, May 30th, 2025.
The final booking deadline is Friday, August 29th, 2025.

It will not be possible to attend the event without booking in advance. Tickets will not be available on the door.

The T.I.C. registration desk will be open from 15:00 to 18:00 on Sunday, September 14th, 2025.

Programme

The Annual General Meeting (AGM) of the Association will be held at 8:30 on Monday, September 15th.

Keynote addresses and technical presentations are scheduled on Monday and Tuesday mornings and early afternoons. Please respect the presenters and do not schedule your business meetings during the technical sessions.

On Wednesday, delegates are given the opportunity to join a tour (details to be confirmed) followed by lunch.

The T.I.C. invites all delegates and accompanying persons to a Welcome Reception on Sunday evening, from 18:00 to 20:00.

On Monday evening, all participants are invited to the Gala Dinner at the Moyo Restaurant. Coaches will depart from the Westin Hotel Cape Town at 17:30.

Delegates (Technical Meeting)

Member company delegates:

The AGM at 8:30 on Monday is restricted to member company delegates. All delegates from a member company may attend, but only one delegate may vote. Voting delegates will be required to sign in upon arrival at the AGM, so please arrive in time. If you are your company’s voting delegate, it is important that you attend and vote.

Non-member company attendees:

Attendees from companies which are not T.I.C. members may attend a maximum of two annual conferences as an observer or potential applicant. If non-member company attendees are interested in attending future conferences, they should apply for membership.

Accompanying Persons (Sightseeing)

People accompanying the delegates are invited to:

  • Welcome Reception on Sunday evening (18:00 – 20:00)
  • Gala Dinner on Monday evening (19:00 – 22:00)

Sightseeing tours for accompanying persons have been arranged for Monday and Tuesday. Full details will be provided to those who have booked.

On Wednesday, accompanying persons are invited to join delegates for the Sightseeing Trip (yet to be confirmed) followed by lunch.

Sightseeing Trip of Cape Town

On Wednesday, delegates are invited to participate in a sightseeing tour.

Tour Details:

  • Hotel pick-up at The Westin Cape Town at 08:00.
  • Scenic drives and photo opportunities at Maiden’s Cove and Chapman’s Peak.
  • Visit to the Cape of Good Hope Nature Reserve.
  • Wine tasting and a three-course lunch at Groot Constantia.
  • Departure from Groot Constantia scheduled for 14:45, returning to The Westin Cape Town by approximately 15:20.

All events of the T.I.C. General Assembly, except the Gala Dinner, the accompanying person tours, and the Sightseeing trip on Wednesday, will be held at The Westin Cape Town.

Exclusive Room Rates for Delegates:

  • Single occupancy room: ZAR 4,800.00 per night
  • Double occupancy room: ZAR 5,200.00 per night

Rates include breakfast, 13% service charge, 10% consumption tax, and accommodation tax.

Booking & Cancellation Policy:

  • 1-night deposit required when reserving the room.
  • Balance due 30 days prior to arrival.
  • More than 30 days prior: Cancellation or reduction charged one night’s accommodation.
  • Less than 30 days prior: Cancellation or reduction charged in full for the accommodation booked.

Check-out time: 12:00

Hotel accommodation is not included in the meeting fee. Hotel bills and meals outside of the conference programme are the responsibility of the delegate and must be paid in full to the hotel before departure.

From Cape Town International Airport (CPT): The distance from CPT to The Westin Cape Town is 12.3 miles.

Practical Information

  • Currency: South African Rand (ZAR). (Approximate value: ZAR 100 ≈ USD 5.44 or EUR 5.17)
  • Weather: Pleasant temperatures with moderate rainfall. Daytime temperatures around 18°C; nights about 11°C.
  • Internet: Complimentary high-speed Wi-Fi access in all guest rooms, function spaces, and public areas.
  • Power Supply: 230V, 50Hz. Types D, M, and N plugs used. Adaptors are available at the hotel if needed.
  • Insurance: Delegates must arrange their own insurance, including travel insurance. The T.I.C. cannot be held responsible for accidents or mishaps.
  • Clothing:
    • Gala Dinner: Business suit with tie (men) | Cocktail-style outfit (ladies)
    • Sightseeing tours: Practical clothing, comfortable shoes, and an umbrella are recommended
