BOOKINGS
The ‘super early bird’ booking rate will close on Monday April 15th, 2024, and the ‘early bird’ booking rate will close on Sunday May 31st, 2024. The final booking deadline is Friday August 30th, 2024.
It will not be possible to attend the event without booking in advance. Tickets will not be available on the door. A booking form is sent with this notice: please use one form per delegate.
Delegates from non-member companies will only be confirmed after payment or receipt of credit card details.
REGISTRATION DESK
The T.I.C. registration desk will be open from 15:00 to 18:00 on Sunday September 8th.
Please wear your badge at all times during any conference event.
DELEGATES (TECHNICAL MEETING)
Member company delegates:
The AGM at 8:30 on Monday is restricted to member company delegates. All delegates from a member company may attend, but only one delegate may vote. Voting delegates, will be required to sign in upon arrival at the AGM so please arrive in time. If you are your company’s voting delegate, it is important that you attend and vote.
Non-member companies attendees:
Attendees from companies which are not T.I.C. members may attend a maximum of two annual conferences as an observer or potential applicant. If non-member company attendees are interested in attending future conferences they should apply for membership.
ACCOMPANYING PERSONS (SIGHTSEEING)
Afternoon tea will be offered on Sunday from 14:30 to 16:30, for accompanying persons to greet old friends and make new ones.
People accompanying the delegates are invited to the Welcome Reception on Sunday evening (18:00 - 20:00) and the Gala Dinner on Monday evening (19:00 - ?) Sightseeing tours for accompanying persons have been arranged for Monday and Tuesday. Full details will be provided to those who have booked.
On Wednesday, accompanying persons are invited to join delegates for the trip to JAXA followed by lunch.
FIELD TRIP TO JAXA
On Wednesday, delegates are offered the opportunity to take a private tour of The Japan Aerospace Exploration Agency (JAXA), the Japanese national air and space agency. Final plans are being firmed up at this time.
HILTON ODAIBA, TOKYO
All events of the T.I.C. General Assembly except the accompanying person tours and the field trip on Wednesday will be held at the Hilton Odaiba, Tokyo.

Exclusive room rates for delegates at the Hilton Odaiba
- Single occupancy room: JPY ¥ 30,302 per night
- double occupancy room: JPY ¥ 33,140 per night
These bedroom rates include breakfast, 13% service charge, 10% consumption tax and accommodation tax. Further information about the Hilton Odaiba can be found here. Booking Link. PROGRAMME

The Annual General Meeting (AGM) of the Association will be held at 8:30 on Monday September 9th. Keynote addresses and Technical presentations are scheduled on Monday and Tuesday, mornings, and early afternoon. Please respect the presenters and do not schedule your business meetings during the technical sessions.
On Wednesday, delegates are given the opportunity to join a tour of Japan Aerospace Exploration Agency (JAXA), followed by lunch. The T.I.C. invites all delegates and accompanying persons to a Welcome Reception on Sunday evening, from 18:00 to 20:00.
On Monday evening, all participants are invited to the Gala Dinner at the Hilton Odaiba, starting at 19:00.
Hotel accommodations are not included in the meeting fee. The bill for your room, together with meals and other Hilton Odaiba services, which are outside the conference programme, are the responsibility of the delegate/ attendee and must be paid in full to the hotel prior to departure.
ARRIVAL/DEPARTURE
From Narita Airport (NRT):The Airport Limousine bus travels directly to the Hilton Odaiba from NRT Terminal 2. Travel time is about 2 ½ hours. Tickets can be purchased online or at the Airport Limousine desk in the arrival hall and cost approximately JPY 2,900. You can also take the Narita Express train to Tokyo station and then travel by subway or taxi to the Hilton Odaiba. Tickets for the Narita Express cost approximately JPY 3,000. Taxi from Tokyo Station to the Hilton Odaiba cost approximately JPY 6,500 and takes approximately 10 minutes One can also schedule a private car in advance of arrival. We do not suggest taking the subway from Tokyo Station to the hotel as it is rather difficult.
From Haneda Airport (HND): The Airport Limousine bus travels directly to the Hilton Odaiba and cost approximately JPY 1000. Travel time is about 20 minutes. Tickets can be purchased online or at the Airport Limousine desk in the arrival hall. Taxi travel time from HND to the hotel is about 10 minutes and cost approximately JPY 6500. The Tokyo Monorail travels from HND to Hamamatsucho train station where one can get a taxi or a subway train to the hotel. The monorail costs approximately JPY 500 and takes approximately 25 minutes. A taxi from Hamamatsucho station to the Hilton Odaiba cost approximately JPY 5000 and takes approximately 10 minutes. We do not suggest taking the subway from Hamamatsucho station to the hotel as it is rather difficult.
PRACTICAL INFORMATION
Currency: the currency in Japan is the Japanese Yen (JPY). At present, JPY 1000 is currently worth around USD 7.04 or EUR 6.43.
Weather: daytime temperatures in September are around 28 – 21°C (82-70°F), with September being one of the wettest months in Japan rain can be expected. Internet: complimentary high speed Wi-Fi access is available in all guestrooms, function spaces and public areas.
Power supply: in Japan, the standard power supply is 100V, 50/60 Hz. American, Canadian, and Central American plugs with 2 flat parallel prongs (type A, NEMA 1-15) can be used in Japanese sockets. The hotel can provide an adapter if needed.
Insurance: please arrange your own insurance, including travel insurance. The T.I.C. cannot be held responsible for accidents or mishaps.
Clothes: for the Gala Dinner, the dress code is ‘business suit with tie’ for men and ‘cocktail-style outfits’ for ladies. For the sightseeing tours for accompanying persons, and the JAXA tour on Wednesday, please wear practical clothes, comfortable shoes, and bring your umbrella.
